Tax Season Workflow

Tax season is when operational pain peaks. A few hundred returns moving through several stages over a few months, each at different completeness, each with different blocking issues.

A Kanban-style workflow makes it tractable:

  • Awaiting Documents — returns waiting for client to provide info
  • In Prep — assigned to a preparer
  • In Review — assigned to a reviewer
  • Awaiting Client Signature — sent for e-signature
  • Awaiting Filing — signed but not yet e-filed
  • Filed — done

Each return has the responsible preparer, reviewer, deadline, and a document checklist. The whole firm sees the same view, filtered to whatever subset each person cares about (my returns, my reviews, returns due this week).

Automated reminders to clients for missing documents — at 14, 7, and 2 days from deadline — eliminate the "did anyone follow up with the Smiths?" question.

A dashboard tracks the funnel: how many returns at each stage, projected completion rate, partners' load balance.

Engagement Letter and Document Automation

Engagement letters are produced from templates with the client data merged in. The Make scenario:

  1. Reads engagement details from Airtable
  2. Generates the engagement letter via Docupilot or Google Docs from a template
  3. Sends it for e-signature via DocuSign or similar
  4. Stores the signed copy back on the client record

The same workflow handles routine correspondence: management representation letters, KYC documents, billing notices.

Deadline Tracking System

Tax deadlines, corporate annual returns, payroll due dates, audit fieldwork dates — every accounting firm has dozens of deadlines per client that must hit.

The deadline system pulls from:

  • Standard tax deadlines by entity type (April 15 individual, March 15 partnership/S-corp, etc.)
  • State-specific deadlines for each client's filing jurisdictions

Softr Business powers the client portal — secure, branded, role-based access to each client's specific data.

Docupilot or Google Docs for document generation.

DocuSign or PandaDoc for e-signatures.

Xero, QuickBooks Online, or your existing accounting tool stays for the books. We integrate for invoicing and financial data; we don't replace.

Your tax preparation software (Lacerte, ProSeries, UltraTax, ProConnect, CCH) stays for return prep. These tools don't have public APIs that Make can call directly — the integration is via file exchange (PDFs, K-1s, source documents) and status tracking happens in Airtable based on preparer/reviewer actions, not by reading the tax software's state. For tighter integrations, ProConnect (cloud) is easier to wire up than the desktop products.
