Summary

Every time a new order is created in Shopify, Integromat will automatically add the data submitted to Xero as a new contact and subsequently create a new order in Xero. This way, you can keep your accounting records up to date without having to manually add new orders.

Detailed explanations

Every new order in your online e-commerce store is a joyful moment. What might be less joyful is reconciling these orders with your accounting. It is crucial to have invoices for all products sold and also in some markets you might be legally obliged to send invoices to your customers. But you don't have to do it manually. This task can be easily automated. To achieve that we will be using a Make (formerly Integromat) template. I prefer using Make due to flexibility of the solution and easy way to debug any problems. All data passing via the scenario is clearly visible. We are starting with this template https://rebrand.ly/shopify-to-xero and will be making some adjustments to it. The base scenario will allow you to create invoices, but as you take a deeper look at line items, you will be also able to create more customized solution that takes into consideration for example different accounting codes or taxes. You can also set the scenario to automatically send invoices to customers.

Step by step instructions

  1. Create a new scenario in Make.
  2. Add a Shopify module to your scenario.
  3. Configure the module to watch for new orders.
  4. Add a Xero module to your scenario.
  5. Configure the module to add a new contact and subsequently create a new order in Xero.
  6. Run your scenario.

Business use case example

This scenario would be useful for businesses that use Shopify to manage their ecommerce orders and Xero to manage their accounting. By automatically adding new orders to Xero as contacts, businesses can save time and ensure that their accounting records are up to date.
